Candidate & applicant privacy notice
What happens to your resume, licensure details and search notes when you join our talent network or apply to a behavioral health role through us.
Last updated August 28, 2026
1. Who this covers
This notice is for clinicians and clinical leaders who apply to a role, join our talent network, or speak with one of our recruiters. It supplements our privacy policy and gives candidates the notice at collection required by California and other state privacy laws.
2. What we collect from candidates
- Contact details: name, email, phone, city and state.
- Professional details: resume/CV, certification and licensure (BCBA, BCaBA, RBT, CCC-SLP, OTR/L, LCSW, LPC, LMFT, LMHC, PsyD/PhD, PMHNP and similar), license numbers and states, supervision status, work history, settings and populations, caseload preferences.
- Search details: target compensation, notice period, relocation and remote preferences, interview availability, and our recruiter notes about the conversations we have with you.
- References, only after you tell us it is okay to contact them.
- Any right-to-work or background-check outcomes that an employer requires later in a process, handled by the employer or its screening vendor.
Please do not send us client or patient information, session notes, or any protected health information. If you do, we will delete it.
3. Why we use it
- To assess which live roles fit your licensure, setting and pay expectations.
- To represent you to a named employer, with your agreement before each submission.
- To coordinate interviews, feedback, offers and start dates.
- To keep you on file for future roles, if you have asked us to.
- To meet our recordkeeping obligations as a recruitment business.
5. Demographic information
We do not require demographic information to represent you. Where an employer runs voluntary EEO self-identification as part of its own application process, that information goes to the employer, is voluntary, and is never used by us to screen candidates.
6. Staying in control
- Ask us to pause contact or remove you from role alerts at any time.
- Ask for a copy of what we hold, or ask us to correct it.
- Ask us to delete your record — we will, unless we are required to keep specific records relating to a placement.
- Withdraw an application before an employer has made a decision.
Email privacy@takeaseatppl.com or use the data request page and we will action it.
7. We never charge candidates
Our fees are paid by employers. We will never ask a clinician for a fee, a deposit, payment for training or equipment, or bank details as part of a job search. If you receive a message claiming otherwise in our name, please report it to us.
